1. Who we are
Alpha Management, a division of Parascend Management Group (Pty) Ltd (registration number 2024/241727/07), Unit A407 5-7, Block A, The Woodstock Exchange, 66 Albert Road, Woodstock, Cape Town, 7925, South Africa. Phone +27 79 838 5050, email info@alphamanagement.co.za.
We are the “responsible party” for the information in IRIS, our agency system (app.irisbyatlas.com), under the Protection of Personal Information Act, 2013 (POPIA). Our Information Officer is Joshua Zyster, Director, who you can reach at info@alphamanagement.co.za.
2. What we collect
| Who | What |
|---|---|
| Models and influencers we represent (and applicants we sign) | Name, contact details, date of birth, gender, location; ID or passport, visa / work permit; banking and tax details; physical measurements and appearance; portfolio photos, polaroids and digitals; social media accounts; contracts and signatures; availability, bookings, castings, options and payments; messages with the agency. |
| Children (Kids division) | As above, plus the name and relationship of the parent or guardian who acts for the child. |
| People who apply through our website | What you send with your application: name, contact details, age or date of birth, height, location, social media and photos. |
| Clients and prospective clients | Company details, contact people and their business contact details, briefs, bookings, invoices and payments, and messages. For new business we only use contact details a company publishes for business enquiries. |
| Our team | Name, work email and role, sign-in and two-step login details, and what each person does in IRIS. If a team member uses voice commands, the words they say (see section 5). |
Some of this is special personal information under POPIA (for example ID numbers and information about children). Only the Director and Booker can see identity, banking and tax documents.
3. Why we use it
- To represent models and influencers: put forward their profiles, arrange castings, options and bookings, send call sheets, and pay them (including PAYE where it applies).
- To work with clients: briefs, shortlists and packages, bookings, contracts, invoices and image usage periods.
- To consider applications from people who want to join the agency.
- To meet our legal obligations (tax, accounting and contract records) and to protect our and our models’ rights.
- To tell clients and prospective clients about our talent, only where the law allows it. You can always say no (see section 8).
We rely on your consent, on our contract with you, on our legal obligations and on our legitimate interests in running the agency. Where we rely on consent you may withdraw it, though we may then be unable to represent you or keep working with you.
4. Who we share it with
- Clients who may book a model see that model’s profile, statistics and the photos the agency chooses (portfolio, polaroids and digitals). Clients may use images only for the booking and the usage period agreed.
- Our service providers, who process information for us under agreements that require them to keep it secure and confidential:
| Provider | What for | Where |
|---|---|---|
| Supabase | IRIS database, files and photos, server functions | United Kingdom (London) |
| Netlify | Hosting the IRIS website | Global network (USA-based company) |
| Our email provider | Sending and receiving IRIS emails | The agency’s own mailboxes |
| Microsoft | Teams meetings and OneDrive file storage | Microsoft 365 data centres |
| Anthropic (Claude) | Reading client briefs, research on prospective clients, team voice commands and finance insights | USA |
| ElevenLabs | Spoken replies and turning team voice commands into text | USA / EU |
| Mailchimp (Intuit) | Newsletters to clients who may receive them | USA |
| Meta | Statistics for the agency’s own Instagram and Facebook accounts | USA / EU |
| Mainboard | The application form on our website | Mainboard’s servers |
| Google, Apple, Mozilla | Phone and browser notifications; the browser’s own speech recognition for team voice commands | USA / EU |
- Authorities such as SARS when the law requires it.
We do not sell personal information.
5. Information sent outside South Africa
Some of the providers above store or process information outside South Africa (see the table). We only use providers that are bound by data-protection laws or agreements that give protection substantially similar to POPIA. By using IRIS, models, applicants and clients agree to this transfer, which is needed to run the agency. Team voice commands are turned into text by the browser’s speech service or by ElevenLabs and read by Anthropic’s Claude to work out the command; the recording itself is not kept.
6. How we keep it safe
IRIS uses encrypted connections, two-step login for staff, access rules so each person only sees what their role needs, private photo links that expire, and records of who changed what. Service providers must protect the information too. If we believe your information has been accessed without permission, we will tell you and the Information Regulator as POPIA requires.
7. How long we keep it
- Applicants we don’t sign: deleted, with their photos, 6 months after we decline the application.
- Models and influencers: while we represent you, and afterwards for as long as we need it for the reasons above. Ask us to delete it when you leave and we will, except for what we must keep.
- Invoices, payments, contracts and tax records: at least 5 years, as tax law requires.
- Clients: while we work together and for the record periods above.
8. Marketing
We send our first message to a prospective client only to an address the company publishes for business enquiries, and we ask whether they would like to hear from us. Newsletters go to clients we have worked with and to others who agreed. Every message lets you opt out, and if you do we won’t contact you again for marketing.
9. Children
We only represent children with the consent of a parent or legal guardian, who gives the consent in IRIS for the child and may withdraw it at any time.
10. Your rights
You may ask us whether we hold information about you and for a copy of it (models can download theirs in their IRIS portal), ask us to correct or delete it, object to how we use it, and withdraw consent. Email our Information Officer at info@alphamanagement.co.za. We will answer within a reasonable time and may need to confirm who you are.
If you are unhappy with how we handle your information you may complain to the Information Regulator (South Africa): inforegulator.org.za · POPIAComplaints@inforegulator.org.za.
11. Cookies and storage on your device
IRIS does not use advertising or tracking cookies. It stores a few things on your device so it works: your sign-in session, your settings (such as the colour theme) and, for staff who use them, voice-command settings. Images you have viewed may be kept on your device so IRIS opens quickly; they are removed when you sign out.
12. Changes
We will update this notice when how we use information changes, and show the new date at the top. Models are asked to confirm the new version the next time they open IRIS.
